How to Switch Property Management Software Without Losing a Month of Rent

Switching property management software sounds scary, and most operators put it off for years. The actual migration takes 6 weeks if you plan it. Here's the plan we ran on a 1,200-lot portfolio with zero days of missed rent collection.

Weeks 1–2: Audit and prep

Pull every export from the old system: tenants, leases, payment history, work orders, vendors, bank reconciliations. Don't migrate yet — just verify the data is exportable and clean.

If anything is missing, find the workaround now, not in week 5.

Weeks 3–4: Pilot with one park

Migrate one park as a laboratory. Set up the chart of accounts, import tenant ledgers, run a parallel bank reconciliation against the old system. Live-cut over to the new system for that single park; keep the old system in read-only.

If the parallel reconciliation matches for two consecutive weeks, you're ready to scale.

Weeks 5–6: Roll out the rest

Migrate the remaining parks in batches of 3–5. Resident-facing communications go out 14 days before each park's cutover so tenants know the portal URL is changing. Bank account routing for ACH gets reset on each park's cutover day, not earlier.

Common pitfalls

Three. First, migrating mid-month — always cut over on the 1st, never mid-cycle. Second, not running parallel for at least 2 weeks per park. Third, underestimating bank reconciliation — matched transactions don't always carry; you'll usually need to re-tag a few weeks of deposits manually.

What to expect post-migration

Two weeks of "this used to be where I clicked" friction from staff. After 30 days, productivity recovers. After 60, you're operating better than before. The friction is real but bounded; the long-term gain is permanent.
